Reporting to the Senior Accountant, the Accounts Payable Clerk is responsible for accounts payable and other general accounting and clerical functions and duties. The role is responsible for ensuring accuracy and compliance, while providing essential, confidential support in timely payroll processing, expense reconciliation, and general ledger preparation to meet all critical departmental and year-end deadlines.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
- Weekly accounts payable processing, including data entry, scanning of invoices, mailing and ensuring proper coding of all invoices, check requests, and expense reimbursement
- Respond to employee questions and concerns
- Maintain accounts payable vendor files and complete weekly payment distributions
- Ensure vendor files include current W9; prepares and files annual 1099 reports
- Download necessary reports from the credit card vendor
- Coordinate and process credit card report from employees; follow-up with employees as needed
- Prepare upload of credit card transactions for importing to General Ledger
- Distribute departmental monthly budget reports
- Research and reconcile other general accounting tasks as requested and necessary
- Provide general office assistance and other support needs, including school community events and other related responsibilities
- Assist in processing payroll timesheets
- Prepare all journal entries related to payroll and employee benefits
- Other duties as assigned.
QUALIFICATIONS AND REQUIREMENTS:
- Bachelor’s degree, preferably in Accounting or Finance
- Minimum 2 years’ experience in bookkeeping or accounting; AP experience preferred
- Proficient in Excel, Work, and Google Workspace; experience with Veracross a plus.
- Highly detail-oriented, organized, and able to multitask in a fast-paced , deadline-driven environment
- Strong interpersonal and communication skills; able to interact professionally with faculty, staff, and families.
- Maintains discretion and handles confidential information appropriately
As a non-exempt employee, the hourly rate ranges from $32-$38
