JOB DESCRIPTION:
The Receptionist serves as the first point of contact for Berkeley Hall School, providing a professional and welcoming experience for students, parents, faculty, and visitors. The ideal candidate exhibits a growth mindset and demonstrates the ability to adapt to a fast-paced, evolving environment. They are a self-starter who takes initiative, effectively multitasks, and meets deadlines with consistency. Strong communication and interpersonal skills are essential, as is the ability to maintain effective working relationships built on collaboration and respect. This position requires emotional intelligence, flexibility, and grace under pressure, along with a commitment to continuous improvement and to Berkeley Hall’s values of diversity, equity, inclusion, and belonging.
This position includes but is not limited to the following duties:
Reception and Front Office Duties

Warmly greets and assists visitors, ensuring a professional and welcoming atmosphere.

Answers and directs calls with accuracy and care.

Maintains a neat and organized reception, lobby, and staff common areas.

Coordinates with security to manage visitor access to campus.

Updates and displays daily notices on the school’s electronic sign.
Communication and Coordination
-
Communicates student attendance and scheduling updates (late arrivals, early dismissals, etc.) to faculty and staff.

Manages school calendar ensuring all school events include accurate information.

Manages daily communications regarding bus service.

Supports scheduling for assemblies, meetings, and special events.
Administrative and Operational Support

Maintains accurate attendance records in the school database and generates reports as needed.

Oversees SchoolPass for attendance, dismissal, bus riders, visitor registration, and after-school programs.

Organizes and distributes mail; manages the phone directory and staff mailboxes.

Coordinates with the Business Office to order, stock, and replenish office and postal supplies.

Oversees copier and office equipment repairs and maintenance.

Manages parking decals distribution to staff and parents.

Keeps reception and substitute manuals updated.
Event and Program Support

Provides logistical and catering support for school and parent association events.

Assists with emergency drills and maintaining up to date emergency rosters

Writes and updates guidelines for shared spaces and procedures as directed.

Performs other duties as assigned.
QUALIFICATIONS:
-
Minimum of three years’ experience in a customer-facing environment

School experience (preferred)

Experience operating in a web-based environment

Working knowledge of Microsoft Office & Blackbaud (preferred)

PHYSICAL REQUIREMENTS:

Ability to walk a 60-acre campus
Terms of Employment:
This is a non-exempt position and eligible for overtime. Competitive compensation commensurate with experience. Benefits package includes, but is not limited to, medical, dental, vision, basic life insurance, long-term disability, and a retirement plan (with up to 7% employer match). Hours on campus are expected from 7:15 am–4:15 pm.
