    The Education Office Assistant is a member of the Organizational Administrative Team. This person performs a wide variety of administrative and operational functions for the Lower School and Middle School Programs and serves as a source of information for students, families, employees, and visitors. This role includes serving as the educational administrative concierge: positively engaging with parents and other visitors to SAA’s educational offices, keeping physical and digital materials organized, and creating a welcoming environment for parents, Staffulty, and Administrators. This is a full-time, non-exempt position reporting to the Director of Lower & Middle School and Associate Head of School for Teaching & Learning.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    • Understand and anticipate the needs of the Director of Lower & Middle School (DLMS) and Associate Head of School for Teaching & Learning (AHOS for Teaching & Learning) regarding preparation for and scheduling of all activities
    • Create a welcoming and organized Academic Administrative Office environment
    • Serve as the receptionist for the Academic Administrative Office, answering phones, emails, and interacting with students, Staffulty, Administration, parents, and visitors
    • Oversee special programs such as Graduation, Moving Up Ceremony, Back to School Nights, etc.
    • Oversee Middle School substitute coordination, making decisions about which teachers are best suited to cover various classes
    • Complete special projects as directed by the Director of Lower & Middle School or AHOS for Teaching & Learning
    • Issue LS & MS Attendance reports to assist the Director of Lower & Middle School
    • Order curricular and departmental supplies (as requested by Director of Lower & Middle School and AHOS for Teaching & Learning)
    • Assist the Director of Lower & Middle School and AHOS for Teaching & Learning with daily administrative tasks (calendaring, filing, copies, scheduling, etc.)
    • Draft communications, proof-read/edit documents and special reports
    • Facilitate set-up, room reservations, and food orders for LS & MS meetings and events (as requested by Director of Lower & Middle School and AHOS for Teaching & Learning)
    • Submit and follow through on Lower & Middle School General Studies Program expense reimbursements, check requests, credit card receipts and reports with the Finance Office in a timely manner
    • Assist the LS & MS Staffulty and Student Services team under the guidance of the Director of Lower & Middle School and AHOS for Teaching & Learning
    • Supervise recess, lunch, carpool and class periods, as needed
    • In collaboration with the Director of Lower & Middle School and AHOS for Teaching & Learning, assist in the coordination of class and field trips and ensure all necessary parental consents and forms are completed and turned in
    • Collaborate with colleagues to arrange parent/student conferences
    • Provide communication with parents/students and support their administrative needs on behalf of Director of Lower & Middle School and AHOS for Teaching & Learning
    • Maintain student information using learning management web-based tools
    • Fill-in and help cover duties for colleagues as approved by Director of Lower & Middle School and AHOS for Teaching & Learning
    • Learn, use, and apply technology as required by School to enhance learning, provide feedback to students and parents, and engage with colleagues. Technology includes but is not limited to JagNet, Google Workspace, Paylocity, and any other School approved software.
    • Perform other duties as assigned by supervisor and/or Head of School in support of the school’s mission, core values, and educational philosophy

    PHYSICAL REQUIREMENTS

    • Ability to lift and move objects of up to 20 pounds.
    • Substantial time spent standing, kneeling, walking, bending, stooping, squatting, and moving up and down stairs.

    REQUIREMENTS AND QUALIFICATIONS

    • At least 3 years of high volume administrative or relevant experience; Bachelor's degree preferred
    • Ability to work on-campus 7:30 AM – 4:30 PM, Monday - Friday
    • Proficiency with Google Suite (Mail, Calendar, Docs, etc.)
    • Strong organizational skills and attention to detail
    • Ability to handle confidential information with discretion
    • Independent judgment and prioritization abilities
    • Work well with cross-functional teams and can build strong relationships
    • Strong work ethic, collaborative skills, flexibility, and sense of humor, with high emotional intelligence

    COMPENSATION AND BENEFITS

    • Hourly Rate Range: $26.50 - $29.50

    In the spirit of pay transparency we share the hourly rate range for this position: $26.50 - $29.50. The hourly rate range is exclusive of fringe benefits, retirement plan employer contributions or potential stipends (for eligible employees). Pay ranges at SAA are reasonable estimates of what the School anticipates paying for a role but are not guaranteed. If hired at SAA, your final hourly rate will be determined by factors such as skills, education, experience, job level, part-time status and number of months of work per academic year. In addition to those factors, we believe in the importance of pay equity and consider internal equity with our current employees as a part of any final offer. Please keep in mind that the range mentioned above is the full hourly rate range for the role. Hiring at the maximum of the range is not typical for SAA in order to allow for future and continued salary growth.
