Marin Country Day School is looking for a development team member with excellent social skills who displays strong cultural competence, is flexible, positive, adaptable, adept at customer service, maintains calm under pressure, and is an excellent team player. Qualified candidates will possess a minimum of three years of applicable work experience, excellent verbal and written communication skills, careful attention to detail, and the ability to multitask in a fast-paced, dynamic office and school environment. Experience with children, parents, volunteers, and independent school culture is a bonus.

Position Description: The Development Database Specialist plays a critical role in the success of the development team by managing and optimizing the donor database. This position is responsible for ensuring the integrity, accuracy, and efficiency of the database, which is essential for strategic planning, fundraising, and donor engagement efforts. Additionally, the Database Specialist will conduct donor research, wealth screenings, and handle reconciliation with the business office to ensure financial records align with donor data.
Principal Responsibilities:
Database Management and Reporting
● Serve as the in-house database expert (Veracross) and train staff on best practices.
● Partner with the Tech Department on updates, backups, and integrations.
● Maintain accurate donor records and implement data entry protocols.
● Conduct regular data audits and cleanups to ensure integrity.
● Generate and analyze reports on donor activity, fundraising progress, and campaigns.
● Create custom queries/reports and track external surveys (e.g., INDEX, AeXIS).
● Produce end-of-year archival reports.
● Gift Processing and Financial Reconciliation
● Process and record pledges and gifts, including stock donations.
● Collaborate with the Business Office to reconcile donor and financial records.
● Resolve discrepancies promptly and provide audit-ready reports and documentation.
Donor Engagement (Research and Stewardship)
● Research and develop profiles for current and prospective donors using wealth screening tools.
● Support donor segmentation and targeted communications.
● Assist with donor mailings, pledge reminders, acknowledgments, and appeals.
● Maintain donor privacy and preferences in all communications.
● Support stewardship efforts, including gratitude campaigns and co-producing the Annual Gratitude Report.
School History Archives
● Manage the archival of school history, including documents, photos, and videos.
● Develop and maintain archival systems and propose new archival projects as needed.
● Collaborate with the Alumni Manager to make archival materials available to alumni.
General Development Support:
● Contribute to Development Office activities, including goal setting, calendar planning, and donor relations.
● Collaborate with the Director of Development on the Annual Gratitude Report (proofreading, design, and production).
● Assist with fundraising and cultivation events as needed.
● Stay informed on school programs, philanthropic trends, and regulations related to fundraising and reporting.
Qualifications:
● B.A. or B.S degree is preferred
● Experience working in a Development office
● Experience with databases (Veracross or Raiser’s Edge is a bonus), PC & Mac operating systems, Google Docs, Gmail, and Microsoft Office programs
● Duties may require occasional lifting of a minimum of 50 pounds.
● Must be available some evenings and weekends
