    Viewpoint School is currently seeking an Advancement Assistant. This position joins Viewpoint’s Advancement Office at an important moment of strategic growth and will be critical to the department’s effort to build a best-in-class fundraising operation for a forthcoming comprehensive campaign. Reporting to the Director of the Viewpoint Fund, this role also has a key supportive relationship with the Assistant Head of School for External Affairs and is part of a growing team working towards a $10 million goal this fiscal year. This is a unique opportunity for a motivated and detail-oriented self-starter to have direct exposure to all facets of a highly functioning Advancement Team. We are seeking a generalist who will provide administrative support to the following essential areas: operational organization and calendar management with a focus on scheduling donor meetings in coordination with the Head of School’s office; the Viewpoint Fund which is the cornerstone of our fundraising efforts; the execution of a highly segmented and curated Stewardship Program; event support, particularly during Benefit season; and assistance in maintaining the integrity of our database. The ideal candidate is someone who can navigate a fast-paced, entrepreneurial environment; enjoys being part of a collaborative, goal-driven team; and has experience working with internal and external stakeholders daily. To be successful in this role, the Advancement Assistant is expected to be a true professional who brings sharp communication skills, a keen sense of priorities, a high attention to detail, strong writing skills, a willingness to learn, and a superb level of tact and discretion. 

    Operations Support 

    • Work closely with the Chief of Staff in the Head of School’s Office to coordinate and confirm donor meetings for the Assistant Head of School for External Affairs and the Major Gifts team. As part of the collaborative partnership with the Head of School’s Office, this role provides daily half-hour phone coverage for the main line as well as back-up to Academic Hall Reception Desk as needed.
    • Liaise with other cultivation partners who may be tapped to engage with donors and prospects, including senior administrators, faculty, and volunteers. 
    • Arrange internal team meetings, create agendas, and track next steps. 
    • Manage the Assistant Head of School for External Affairs’ calendar. 
    • Make catering, restaurant, travel arrangements, and other logistical preparations as needed for prospect visits, team retreats, workshops, and the like. 
    • Support the creation of decks and other collateral materials for meetings. 
    • Process incoming and outgoing mail. 
    • Track office supply inventory and order fresh supplies as needed. 

    Viewpoint Fund Support 

    • Work closely with the Director of the Viewpoint Fund to support the seasonal cycle of annual appeals and volunteer outreach to the community. 
    • Help coordinate the printing and mailing of Fall appeals to various constituencies.  
    • Provide assistance as needed in coordinating Viewpoint Fund volunteer meetings, including the preparation of materials, slide decks, and other collateral. Provide staffing with volunteer meetings as needed. 
    • Staff signature Viewpoint Fund events as needed. 
    • Support the implementation of the Volunteer Network Fundraising platform. 
    • Take on a portfolio of Community Impact Circle donors for acquiring and renewing gifts to the Viewpoint Fund through phone and email outreach at critical junctures during the year. 

    Stewardship Support 

    • Support the Director of Stewardship and Legacy Giving with a segmented approach to stewardship phone calls, letters, and gifts. 
    • Print and mail Viewpoint Fund acknowledgments/tax receipts in a timely manner.

    Event Support  

    •  Assist the Director of Special Events with select aspects of fundraising events throughout the school year, with an emphasis on Viewpoint Fund events and the Annual Benefit. 
    • Help make phone calls to increase and confirm attendance.
    • Prepare day-of event materials, including RSVP lists, name tags, place cards, etc. 
    • Track and record event attendance in Raiser’s Edge as assigned or as bandwidth allows. 
    • Provide extra staffing during events as needed. 
    • Support the tracking, recording, and distribution of auction items. 
    • Order host gifts as needed. 

    Database Support 

    • Cross train with the Advancement Data Specialist on basic gift entry and query. 
    • Cross train with the Director of Prospect Research Strategic on basic prospect research modalities. 
    • Assist with data entry and data hygiene as assigned by the Director of Prospect Research Strategy and Advancement Database Specialist. This includes, but is not limited to, updating parent contact information on an ongoing basis.

    Education and Work Experience 

    • Bachelor’s degree 
    • 2-3 years of experience in Advancement or a related field that requires strong interpersonal skills and a high degree of interaction with external audiences, such as client-based work. 
    • Experience working in education is preferred. Understanding the mission and purpose of independent schools is desirable. 
    • Familiarity working with nonprofits preferred. 

    Skills and Qualifications

    • Team player with a can-do attitude and willingness to help others.

    • Highly organized and detail oriented with a demonstrated ability to manage multiple priorities and projects and meet deadlines in a fast-paced environment.  
    • Excellent interpersonal skills with a collaborative approach to working with staff at all organizational levels, including volunteers and board members. 
    • Ability to deliver exceptional customer service via all channels (phone, email, in-person, etc.).  
    • Ability to use current desktop office technologies proficiently and ability to adapt to and use future technologies. 
    • Database experience required (Raiser’s Edge preferred).   
    • Data-driven and digital first mentality, with the ability to work collaboratively through Google Drive (Docs, Sheets, Slides, etc).
    • Ability to work weekends and evenings as needed.

    Compensation: $25-$30 per hour based on experience.
