    Accounts Payable and Business Office Coordinator

    The Buckley School, Los Angeles’ oldest K-12 all-gender learning institution, has an opening for an Accounts Payable and Business Office Coordinator. This position maintains the orderly operations of the School's accounts payable function and ensures accuracy of related records.

    ESSENTIAL FUNCTIONS:

        Process a high volume of vendor invoices

    ●   Create and maintain new vendor accounts, collect IRS form W9 and produce 1099s

        Interact with vendors over the phone, in person, on zoom and via email

    ●   Assist the Director of Finance and Chief Financial Officer with accounting, finance and other projects as needed and perform administrative functions to support the Business Office

    ●   Reconcile bank accounts on a monthly basis

        Purchase for various departments and track expenses

        Prepare and distribute departmental budget to actual reports and research and reclassify discrepancies

        Serve as a backup administrator for the student billing desk and G-card function

        Assist in the implementation of Payment Assistant Blackbaud module

        Produce, issue and circulate monthly departmental budgets for department chairs.

        Address any necessary account reclassification

    RESPONSIBILITIES/DUTIES/TASKS 

    ·      Process all invoices and ensure approvals are in accordance with disbursement policy, and if necessary, circulate for approval

    ·      Obtain and input new vendor info into Blackbaud including tax ID

    • Prepare 1099s on an annual basis, meeting required deadlines (January)
    • Issue weekly and ad-hoc payments, utilizing electronic payment of funds whenever possible
    • Code the Corporate card account purchases – input the JE and obtain proper approvals
    • Review and evaluate other options for credit cards
    • Review expense reports to ensure compliance with Travel and Expense Policy and process payments
    • Prepare and book journal entries into Blackbaud and reconcile with General Ledger
    • Maintain and manage school’s paperwork storage process with offsite vendor
    • Reconcile all prepaid Expense accounts and book monthly amortization
    • Perform analyses on other accounts or expenditures as required
    • Perform monthly bank reconciliations 
    • Assist with audit requirements – pulling requested information for the auditors and preparation of schedules. (June and Sept)
    • Order and maintain office supplies for the business office

    EDUCATION AND/OR EXPERIENCE:

    ·         High School diploma required.  Bachelor’s degree preferred

    ·         At least four years of relevant work experience in accounts payable

    ·         Blackbaud experience preferred

    ·         Experience working with individuals from diverse backgrounds and cultures

           Strong interpersonal, written, and verbal communication skills

           Organizational competency with high attention to detail and ability to maintain confidentiality

           A warm, professional, punctual and proactive attitude

           Self-motivated and disciplined to work well independently and along with others

    SKILLS AND ABILITIES:

           Basic accounting and math skills

           Hands-on knowledge of and proficiency with MS Office applications, especially Word, Excel and Outlook as well as Internet Explorer

           The ability to multi-task projects in a fast-paced work environment

           The ability to work independently and strong organizational & prioritization skills

           Good customer relations and problem-solving capabilities

           Knowledge of and demonstrated competency in diversity, equity and inclusion

           Demonstrates adaptability, dependability, good judgment, strong social skills, impressive communication skills in writing and speaking, and the abilities to read, assess, imagine, evaluate, calculate, & make wise decisions

           Maintains confidentiality, particularly due to sensitive natural of information circulated in the role and in the department

           Models a growth mindset and continuous learning and believes in the capacity for growth

           Basic working knowledge of budget management practices

           Able to apply technology solutions to improve efficiency of business office function. Demonstrated skill in configuring, installing, maintaining, using, and troubleshooting various technologies and applications, and the ability to learn new and evolving systems and products.  Proficient in Word, Excel, PowerPoint, internet searches

           Strong ability to process paperwork timely and maintain effective electronic filing systems

           Able to proactively initiate, participate in, and follow through on strategic planning matters and on work assignments. Positive attitude and teamwork perspective are essential.

    COMPENSATION

    The salary range for this role is $30 – 34/hour.     

    The base salary is separate from fringe benefits, such as retirement contributions, daily lunch, on-site parking, contributions to medical, dental, vision, life/AD&D plans, or our generous time off policy. Our pay ranges are reasonable estimates of what the School anticipates paying for a role but are not guaranteed. If hired at The Buckley School, your actual base salary will be determined by your education, experience, and schedule.
