Windward School, a grade 7-12 college-preparatory, independent day school in vibrant West Los Angeles, is currently seeking a Coordinator to join our Collegiate Division.

Primary Responsibilities:

Supports the administrative needs of the Director of the Collegiate Division and the Collegiate Division team

Joins all Collegiate Team meetings and actively participates in team discussions.

Manages all incoming calls for the Collegiate Division and serves as the first responder to questions; responds promptly to family and student questions by phone, email, or in person

Welcomes and assists all visitors to the Collegiate Division Office, including students, faculty, staff, parents, and prospective families

Oversees the attendance for the student body of the Collegiate Division
o Prepares weekly attendance reports
o Serves as the parent liaison for Collegiate attendance-related inquiries and sends daily student reports
o Field trip attendance (weekly rotation)
o Reconciles all unexcused absences, communicating with Collegiate families as necessary
o Alerts the Collegiate Team to students with excessive absences and/or tardies
o Manages sign-in for Collegiate students coming to school late and sign-out for students who are leaving school early
o Collaborates with the Collegiate Dean of Students to resolve attendance questions

Coordinates all logistics for Collegiate events with the Director of Development and Engagement (i.e., RSVPs, event forms, name tags, mailings, gifts, etc.)in connection with the Events Team

Plans and organizes, alongside the Division Director, the 11th & 12th Grade Retreats and student events, including associated vendor management

Attends all 11th and 12th grade retreats.

Coordinates lunch meetings, food orders, and room reservations for the Collegiate Division administration

Provides administrative support for Collegiate Prefect Elections, including organizing Prefect statements for distribution, creating ballots, and securing logistics for Prefect Elections

Coordinates the Collegiate faculty evaluations
-
Supports the Director of Human Resources and Recruitment with Division hiring needs, including interview scheduling, travel arrangements, candidate packets, and logistics

Collaborates with the Graduation team for planning (faculty/student speakers, book awards, gown measurements, diploma names), communications, and data collection

Provides administrative support as requested for summer camp

Establishes communications and distributes parking permits to student drivers
-
Collaborates with the Director of Infrastructure and Risk Management to co-manage parking lottery applications and data collection, as well as communicates with families throughout the year regarding eligibility for parking permits.

Dean’s List/Honor Roll Mailing

Teams with the coordinators of the Prep and Middle School Divisions to support the overall needs of the school

Other duties as assigned
Requirements
-
Bachelor’s degree or a minimum of two years’ related experience, preferably in an independent school

Proficiency in Microsoft Office and Google Office; willingness to learn new systems and techniques

Excellent organizational, time management, attention to detail, problem-solving, multi-tasking, and analytical skills

Ability to take initiative and demonstrate leadership skills within a team environment
-
Strong oral/written communication skills

Outstanding interpersonal skills with an accessible, approachable, and welcoming demeanor

Ability to use discretion with confidential information

Proven ability to work as a positive, enthusiastic member of a team

Salary Range: $74,000-$82,000, depending on experience.
