    Viewpoint School is currently seeking a Support Services/Event Coordinator. The Support Services Event Coordinator partners with event owner/sponsor to assure that the selected campus venue is properly set up, that catering requests are satisfied, and that the event takes place without incident. The focus of this position is events & activities scheduled for weekday afternoons and evenings, as well as for Saturdays, and overtime work will be required at busy times during the school year.

    Primary Responsibilities

    • Plan, coordinate, and work campus meetings, assemblies, and other events, which may include communications with employees and parents, ordering food, gathering and setting up supplies, and cleaning up at event end
    • Serve as the Support Services liaison for afternoon and weekend events, providing hands on oversight and labor for the event set-up, working the event, and the event clean up.  Work closely with the Custodial Manager to communicate and coordinate any event needs
    • Create and maintain work orders for assigned events
    • Secure all necessary catering items (food, beverages, rentals, etc.) for events, by ordering them in advance for delivery or going shopping for them at a store
    • Maintain the Support Services Event Work Order Log and the online Operations resource board of event work orders
    • Create all departmental supply invoices, including but not limited to divisional break rooms, departmental kitchen areas, nurse’s offices, and all administrative offices
    • Create and maintain monthly supply invoices for faculty rooms, individual classrooms, offices, athletic support, and individual departments
    • Close out Support Services ICA’s monthly for Business Office reporting
    • Serve as back-up for master, online, and 3 week calendar entry and maintenance

    Additional Duties

    • All members of the Support Services team are expected to actively contribute to the successful accomplishment of the broad scope of the department’s duties, by collaborating with and helping colleagues and chipping in where needed
    • Assist with music concerts by helping with backstage needs and onstage switches
    • Assist with Spirit Wear Sales at events on and off campus
    • Assist parents in serving hot lunch when volunteers are short-staffed
    • Assist with Food Service-related tasks, including (but not limited to) Patriot Card funding, parent notifications and phone calls regarding Patriot Cards
    • Other duties as assigned by the Director of Support Services

     Experience, Knowledge, Skills, Abilities Required: 

    • Ability to evaluate tasks, take initiative, and motivation to complete activities timely and accurately
    • Demonstrated experience in a customer service setting, with the abilities to establish and maintain effective and professional working relationships with employees, parents, and management
    • Experience in an event coordination role with the ability to work independently in a highly organized, proactive manner
    • Ability to maintain efficiency, organization, and flexibility in a fast paced multitasked environment
    • Valid driver’s license with a clean driving record
    • Capable of working a flexible schedule with the ability to work early mornings, evenings, and weekends
    • Proficient in Microsoft Word, Excel, PowerPoint, Publisher, Outlook, and the Google Suite
    • Ability to lift, push, pull 25 pounds

    Compensation: Anticipated compensation is $20.00 - $30.00 per hour depending on experience.
