    Position Summary

    Santa Catalina School, a nationally recognized PreK-12 independent Catholic school in Monterey, California, is currently seeking a full-time Development Events Coordinator. Under the supervision of the Director of Development, the Development Events Coordinator is responsible for planning and implementing all events and programs organized by the Development Office and will also assist with community-wide events. This individual is responsible for creating and leading a program of events and donor relations programs and oversees all events for fundraising activities. Events range from small intimate dinners to stewardship events and large-scale ticketed events. This is a key member of the Development team.

    The Development Events Coordinator is responsible for planning, executing, and overseeing all development events for the Development Office. This position plays a crucial role in creating opportunities for donor engagement, cultivation, and stewardship through events that drive fundraising goals and strengthen relationships with supporters.

    Essential Responsibilities:

    • Event Strategy and Planning
    • Develop and maintain an annual calendar of all development events.
    • Work with team and volunteer leadership to conceptualize events, including the purpose, targeted audience, key themes, location, and timeline.
    • Engage in the life of the school by regularly participating in campus and community activities.
    • Event Logistics
    • Coordinate all aspects of event logistics, including catering, invitations, guest lists, and assisting with venue selection when needed.
    • Oversee event budgets, ensuring that expenses are within allocated resources.
    • Donor Engagement
    • Work closely with the development team to identify donor engagement and cultivation opportunities through events.
    • Develop strategies to ensure that events provide donors with a meaningful and memorable experience.
    • Fundraising
    • Collaborate with the fundraising team to integrate fundraising efforts into events, including live appeals, silent auctions, and sponsorships.
    • Set and track fundraising targets for each event, working to maximize contributions.
    • Maintain, cultivate, and solicit a personal portfolio of leadership prospects that include business sponsorships and school vendors.
    • Volunteer Management
    • Recruit, train, and supervise event volunteers and committees to support event execution.
    • Ensure volunteers are well-informed and aligned with the organization's mission and goals.
    • Marketing and Promotion
    • Develop marketing and promotional strategies for events, including print materials, social media campaigns, and email marketing.
    • Work with the marketing and communications team to raise awareness and drive event attendance.
    • Event Execution
    • Oversee all event logistics on the day of the event, ensuring that it runs smoothly and according to plan.
    • Act as the primary point of contact for guests, vendors, and partners during the event.
    • With the Director of Development, brief Santa Catalina School administrators, trustees, and others on their roles in events, including, if necessary, a briefing packet (guest list, profiles, program, script, etc.) about the event with adequate lead time.
    • Post-Event Evaluation
    • Conduct post-event evaluations to assess the success of each event, including fundraising results, attendee feedback, and areas for improvement.
    • Use data and feedback to refine future events and strategies.

    Qualifications

    • Bachelor's degree in a related field preferred (e.g., event management, marketing, nonprofit management)
    • At least two years of experience in event planning and management, particularly in a nonprofit or fundraising setting
    • Proficiency in event management software and tools
    • A commitment to the mission and identity of Santa Catalina School
    • A desire to participate fully in the Santa Catalina community
    • Successful completion of a LiveScan criminal background check as required by law

    Supervisory Responsibilities (if any)

    • This role may involve supervising volunteer event coordinators and other vendor-related staff.

    Working Conditions and Compensation

    • Work at a desk and computer screen for extended periods of time each day
    • Ability to work in various positions, including, but not limited to, standing, bending over, crouching, sitting, reaching, driving (a cart) for extended periods of time, and needing to lift up to 50 lbs.

    • Salary Range: $58,000-$75,000 depending on experience
