    Located just west of Stanford University, Woodland is an independent day school that offers a joyful approach to learning in a diverse, respectful, and inclusive environment for approximately 300 students in early childhood through eighth-grade. We have two sections of each grade level K- 8 with class sizes that average from 14-18 per class.

    ESSENTIAL FUNCTIONS/ROLE AND RESPONSIBILITIES

    Woodland is seeking a detailed-oriented individual with strong reading comprehension, analytic skills, and accounting abilities who applies sound, independent judgment across a variety of tasks. The Accountant is able to perform difficult complex and analytical work with high levels of accuracy.  A successful candidate is a reliable professional who is collaborative, organized, and able to prioritize and juggle many tasks simultaneously.

    The Accountant reports to the Director of Finance. S/he is part of the team responsible for the school’s general accounting function and oversight of internal controls. This person performs general accounting functions including processing payroll, A/P, A/R and advancement transactions, processing deposits, preparing journal entries, account reconciliations and assisting in monthly close processes. 

    Accounts Payable

    • Responsible for weekly accounts payable processing, including data entry, scanning of invoices, mailing and ensuring proper coding of all invoices, check requests, and expense reimbursements, as per policy.
    • Responsible for follow-up and research on all accounts payable inquiries.
    • Maintains accounts payable vendor files, including weekly filing of payments.
    • Ensures vendor files include current W9; prepares and files annual 1099 reports.

    Payment Processing and Reconciliation

    • Process enrollment contracts and ensure that accounts are properly charged through FACTS tuition management system. Record tuition remittance activity in QuickBooks.
    • Reconcile payments for Extended Day and Enrichment programming.
    • Reconcile receipts with school credit cards and PEX cards, monthly.
    • Prepare necessary journal entries into the General Ledger for tuition.

    Payroll

    • Process semi-monthly payroll, including non-exempt timecard processing.
    • Oversee the importing of payroll information into the payroll system from the HR system.
    • Coordinate with the Director of Finance to ensure that all pay changes and deductions are reflected appropriately in the payroll system.
    • Produce payroll reports necessary to reconcile to General Ledger and perform timely reconciliations.
    • Prepare all journal entries related to payroll and employee benefits.
    • Assist in workers’ compensation audit.

    Other Duties

    • Perform research, reconciliation, and other general accounting tasks as requested and necessary to meet department reporting deadlines.
    • Provide assistance with regard to clerical administration and other support needs, including general school community events and other business office responsibilities.
    • Support employee onboarding/offboarding, as needed.
    • As a member of the Woodland staff, assist in providing supervision duties for students.

    MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)

    We seek a dynamic individual who works collaboratively and creatively with colleagues. The minimum requirement for candidates is a Bachelor’s Degree, preferably in Accounting or Finance.

    • Minimum of three years’ experience in bookkeeping and/or accounting and finance, preferably in accounts payable and payroll processing
    • Proficiency with QuickBooks
    • Non-Profit/Independent School sector experience preferable.
    • Requires solid knowledge and understanding of accounting principles.
    • Highly detail oriented, well-organized, flexible, and collaborative individual who enjoys working in a team-driven environment.
    • Able to multitask in a fast paced, deadline driven environment, while always maintaining a customer service focus.
    • Common sense, professional decorum, and clear and concise communication skills are critical due to regular interaction with parents, faculty and administrators.
    • Proficient in Microsoft Office, especially Excel and Word.
    • Experience with Google Workspace.

    SALARY

    The salary range for this position is $70,000-$95,000 depending on qualifications and experience.
