    Position Summary:

    The Director of Finance is responsible for the day-to-day operations of the School’s business office and provides financial strategic advice to the Head of School, Leadership Team, and Board of Trustees and its Finance Committee. The position reports to the Head of School to ensure the accounting and financial systems are current and accurately reflect the budget results (revenue and expenses) and financial position of the School, in accordance with GAAP, internal controls and policy, and managing all human resources activities. The position requires significant strategic and tactical financial acumen, fund accounting, payroll, and human resources experience, particularly with independent schools.

    Duties and Responsibilities:

    • Provides financial strategic advice to leadership, administration, Treasurer, Board members, and Finance Committee to determine current and future planning and projections.

    • Oversees planning, organization and management of the Business Office, including bank reconciliation, cash management, accounts payable, accounts receivable (tuition and fees), budgeting, financial reporting, human resources processing and payroll.

    • Establishes policies, procedures, standards and strategies for areas of responsibility and provides adequate internal control capabilities and strengths to safeguard the School’s assets.

    • Identifies control weaknesses, prepares and updates policies and procedures, monitors and enforces compliance.

    • Performs adequate and appropriate financial and human resources systems and establishes procedures to meet the information needs of the School and its administration.

    • Manages and supervises the Business Office staff (account clerk) involving accounts payable, accounts receivable, bank deposits and cash management.

    • Responsible for ensuring a timely and accurate completion of the monthly and annual close, including processing journal entries, account analysis and reconciliation, variance analysis and financial statement review.

    • Prepares monthly and annual budget reports for leadership.

    • Reviews all expense reports for accuracy and proper expense classification.

    • Oversees and administers petty cash accounts.

    • Maintains fixed asset ledgers, capitalizing acquisitions, recording depreciation and disposals. Prepares fixed asset reports and posts entries to the general ledger.

    • Maintains grant accounting and recording of revenue as restrictions are satisfied.

    • Prepares and develops annual and monthly budget, forecasting, and periodic financial and budget reports.

    • Coordinates relationship with the school’s independent auditors and is responsible for the preparation of work papers for annual audit and 990. Attends Audit Committee.

    • Participation in submission of annual grant applications.

    • Coordinating and reconciling with development staff in maintaining adequate records for donations and pledges.

    • Processes semi-monthly payroll and recording to the general ledger; prepares annual 1099 filings.

    • Responsible for all human resources (HR) processing matters including preparation of faculty and staff employment agreements, new employee onboarding, periodic salary increases, coordination of employee leaves of absences, management of insurance, employee benefits, 403b plan, and preparation of annual 5500 filing.

    • Plans and oversees the distribution of student enrollment and re-enrollment packages, review of contracts for completeness and system update school’s information management system as well as coordination of information to independent tuition billing, and collection systems.

    • Participates in the tuition assistance process, including preparation of materials, distribution of award decision, and compilation of data for the tuition assistance committee, record keeping, notification and follow-up.

    • Administration of annual surveys, including ISBOA, CAIS, and DASL. Required Qualifications and Knowledge:

      • Position requires a college degree and 7-10 years of managerial level accounting/financial business management experience, preferably in an academic/school environment

      • Position requires knowledge of generally accepted accounting principles and extensive experience with automated accounting payroll systems.

      • Must have a strong knowledge of financial statement review and analysis, reconciliation skills, debit and credit accounting.

      • Must possess ability to multitask, attend to detail, organize work effectively, meet deadlines and report status of work in a regular and systematic fashion.

      • Must possess excellent communications skills, good interpersonal, organizational, and supervisory skills.

      • Position requires high skill in use of Microsoft Office Word, Excel and Outlook, and strong working knowledge of Windows-based and/or web-based general ledger, human resources, and, payroll reporting and data entry packages. Blackbaud Financial Edge is required or ability to be trained efficiently; and Paychex or similar is preferred.

      • Position requires the ability to work independently as well as with staff, teachers and parents, at all times to exhibit a positive attitude, to be self-motivated and to be able to cope successfully with stressful situations, schedules, and deadlines.

        Salary and benefits are commensurate with the position and successful candidate’s experience.
