Temporary Accounts Receivable Specialist

    de Toledo High School, a vibrant and innovative independent high school in West Hills, is seeking an experienced and dynamic accounts receivable specialist for a temporary full-time position to manage all student accounts receivable and all other receivable functions of the school, which includes timely processing and reporting.  This is a temporary position to fill for an FMLA leave for up to 3 months.

    Tasks and Responsibilities

    • Create all tuition invoices which includes data entry into Blackbaud FE NXT and Smart Tuition.
    • Manage reporting and balancing of account invoices in all computer modules.
    • Process all cash receipts (this includes checks, e-checks, credit cards, Smart Tuition uploads) for school.
    • Maintain daily back up for all deposits (this includes pdf files from bank and e-checks and credit cards remittance forms for processing company).
    • Maintain accurate files of all billing transactions from each student account using Smart Tuition.
    • Possess the ability to maintain confidential and positive working relationships with administrators, faculty, staff, parents, students, school and community organizations, vendors, and the general public.
    • Work with families who need special payment plans, prepare delinquent account letter to parents, and make collection phone calls.
    • Post all charges, credits, and refunds for tuition assistance recipients.
    • Answer accounts receivable phone inquiries and follow up to ensure questions and issues have been resolved.
    • Prepare all accounts receivable monthly reports.
    • Work with collection agency for delinquent accounts.
    • Prepare data collection and respond to surveys assigned by the CFOO.
    • Research competitive school data and create comparative analysis.
    • Assist with special projects, as requested

    Knowledge, Skills and Abilities:

    • Expertise with Microsoft Office Suite (MS Word, Excel, PowerPoint, Outlook, Publisher)
    • Experience required with Blackbaud FE NXT and Smart Tuition.
    • Detail oriented.
    • 10-key by touch with fast and accurate data entry skills.
    • Thorough and organized thought process.
    • Ability to analyze accounting information, with clear understanding of debits and credits.
    • Strong general math skills.
    • Strong organizational skills sufficient to handle multiple projects, details, and deadlines simultaneously; strong ability to prioritize.
    • Must be technology oriented (able to learn new systems quickly and effectively)
    • Strong interpersonal and communication skills with customers, vendors, and all colleagues.
    • Collegially inclined with peers; a willing communicator and collaborator; enthusiastic team player.
    • Comfortable working within a fast-paced dynamic school environment. 
    • Unquestionable personal integrity, excellent judgment, sound instincts, diplomacy and patience.
    • Requires Bachelor’s Degree plus a minimum of three years of accounting/financial administration experience; however, in lieu of a Bachelor’s Degree, the School will consider equivalent combination of college and related work experience
    • Experience working within a school environment is a plus.
