Performing Arts Department Coordinator
Salary range: $25.00 - $35.00/hourly
REPORTING RELATIONSHIP: Performing Arts Department Director (PADD)
The vibrant Performing Arts Department consists of K-12th grade dance, music, and drama, including acting, theater tech, tv production, ballet, contemporary dance, choir, recording arts, and several instrumental ensembles. With nearly 30 performances a year and over 600 students involved in curricular classes and extra-curricular productions, the Performing Arts Department Coordinator will work under the direction of the Performing Arts Department Director in supporting the faculty on production and curricular needs, publicity, and assisting in department projects and assignments. Some periodic evening or weekend work times involved.
RESPONSIBILITIES:
Productions
-
Publicity: create and post flyers around campus for all performing arts events, create social media posts, serve as liaison to Communications Department

Work with performing arts teachers to order and distribute show-shirts

Create payment links for theater meals and show-shirts
-
Order and set up meals for cast and crew, order catering for department meetings, and order theater concessions

Backstage management for certain shows

Coordinate backstage help for dance shows

Maintain lists for reserved and accessible seating
-
Coordinate photographers and videographers
-
Create and proofread paper and digital programs/playbills
-
Sort through, organize, and create photo galleries of each show (SmugMug)

Send ticket links and upcoming schedules to families of cast and crew

Livestream certain concerts
-
Possible: Backstage rehearsal assistance including student supervision

Special projects, assignments and assistance as needed for the Performing Arts Department Director
Communications
Curricular
-
Work with performing arts faculty and college counseling office to submit classes for UC approvals
-
Make email distribution lists for each PA class and production
-
Organize field trips (buses) and professional development trips (hotels, plane tickets)
KNOWLEDGE, SKILLS AND ABILITIES:

Excellent attention to detail, highly organized, with ability to prioritize and juggle multiple projects at once

Proficient with Google Docs, Sheets, Slides

Prompt, reliable and team player

Demonstrates flexibility

Strong verbal and written communication skills

Minimum 2+ years of administrative experience

Bachelor’s degree preferred, but not required
-
Some performing arts familiarity is a plus, but not required
PHYSICAL DEMANDS:

Periodically carry (up to 20 lbs) or push (up to 50 lbs) items across the campus

Regularly required to travel across campus which includes stairs, moderate inclines/declines and irregular terrain.
