POSITION SCHEDULE: This is a “10 month” position: from approximately mid August through mid June each year (44 weeks).

Campbell Hall, founded in 1944 and situated on approximately 15 naturally landscaped acres in North Hollywood, California, is an independent, all gender, college preparatory, Episcopal day school for students in kindergarten through grade twelve. GENERAL JOB DESCRIPTION
The Admissions Database and Events coordinator is responsible for the management of applicant files and communications with applicant families, helping to coordinate tours and interviews, and assisting the database manager with duties related to CollegeNet and the online calendar. The job also includes being part of the admissions team and making the admissions process as smooth as possible for the applicant families.
RESPONSIBILITIES

Create tour and event schedules in CollegeNet, monitor registrations and report on attendance

Create and distribute tour and event attendee lists

Send email reminders and thank yous for tours and events

Create and edit CollegeNet templates
-
Create and organize name tags for parent and student volunteers and open house attendees

Assist in the management of interview scheduling

Process all application paperwork including: applications, application photos, recommendations, inquiries, testing, interview notes, additional letters of recommendation, transcripts and report cards.

Upload applicant materials into CollegeNet database

Manage CollegeNet files

Audit applicant files for completion

Communicate with applicants to help them complete files

Attend evening and weekend admissions events, when necessary

Prepare admission material mailings

Prepare and export applicant files from CollegeNet to the Blackbaud database

Assist with annual CollegeNet updates

Assist with annual update of marketing materials

Work with parent volunteers to coordinate host family program

May assist in providing tours to and/or interviews for prospective families if needed
ADDITIONAL RESPONSIBILITIES

Communicate with parents when they have questions about the admissions process whether that be via phone, email or in person.

Help create a friendly and welcoming environment for families who are visiting Campbell Hall.

Help prepare and maintain admissions materials for prospective families.

Assist in the preparation and distribution of monthly newsletters from the admissions office to all prospective applicant families.

Bachelor’s degree

Computer Skills: Word, Excel, Google Platforms

Bilingual - English/Spanish a plus
PHYSICAL REQUIREMENTS
Light lifting (up to 20 pounds), standing and walking required for events.
