    Position Description

    The Administrative Assistant facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks.

    Duties and Responsibilities

    • Answer phones and greet visitors as needed in the reception desk
    • Schedule appointments and maintain calendars (Keep the Dean of Students Calendar)
    • Schedule and facilitate meetings with students/parents/faculty/staff
    • Collate and distribute mail
    • Prepare communications, such as memos, emails, reports and other correspondence
    • Create and maintain filing systems, both electronic and physical in a confidential manner
    • Perform data entry duties as needed
    • Responsible for the coordination of Tumbleweed Transportation
    • Performs other duties as assigned
    • Set up meeting spaces (food, documents, presentations, etc.)
    • Prepare google slides for community
    • Assist with preparation of calendar documents
    • Research as needed
    • Maintain analog and digital files
    • Process invoices
    • Fill out expense reports
    • Help with any clerical work and supply/food ordering for ASB
    • Assist the Head of School as needed.
    • Other duties as assigned


    • Proficient in Microsoft Office and Google software
    • Trustworthy – able to maintain confidential information as appropriate
    • Strong organizational skills – the ability to balance multiple projects and changing
    • priorities without losing focus
    • Excellent verbal and written communication skills
    • Able to work in a complex team-oriented environment in order to accomplish department
    • goals and objectives.
    • A willingness to help others in various departments throughout the school as necessary
    • Maintain a “solution conscious” attitude when faced with challenges
    • Able to follow and complete detailed verbal and written instructions within specified
    • timeframes
    • Able to perform assigned duties with speed and accuracy
    • Proven record of attendance and punctuality
