    Executive Assistant / Business Operations & Finance

    San Diego Jewish Academy is looking for a full-time Executive Assistant to provide administrative and managerial level support in a broad range of operational areas and projects.  Reporting directly to the Chief Operating Officer/Chief Financial Officer (COO/CFO), you will be a liaison to management teams, school divisions, campus partners, major donors, school trustees, professional service providers and others.  You will be integral in planning, executing and supporting strategic projects and initiatives, as well as developing, managing and coordinating processes and systems that allow for smooth and efficient operations of various activities on campus on a day-to-day basis.

    You will be kept busy with:

    • Cultivating and maintaining excellent working relationships with school leadership, employees, students, parents and community partners
    • Interacting professionally with campus visitors, guests, contractors and vendors
    • Acting as a key point of contact for others in providing a “gatekeeper” and “gateway” role for the COO/CFO’s time and office
    • Executive level support with communications, reports, delegated tasks and information gathering/distribution
    • Meeting planning and arrangements, including Board of Trustee meetings, Board Committee meetings, and cross-functional team meetings
    • Property management responsibilities, including contract administration and interactions with tenants and outside groups that periodically license school facilities
    • Supporting teams engaged in major construction and renovation projects taking place on campus
    • Developing and managing a system for space reservations and set-ups for events and activities that take place on campus outside of classroom spaces
    • Supporting the development, training and administration of facility use and operational policies and procedures
    • Coordination of multi-departmental processes for off-campus field trips and activities
    • Assistance with the school’s risk management and insurance program, and interfacing with outside risk management advisors/insurance brokerage team
    • Controlling and maintaining electronic and hard copy recordkeeping systems
    • Managing seasonal processes that require coordination among multiple divisions and departments, to ensure good planning and execution

    You're good at:

    • Maintaining accurate records and upholding confidentiality at all times
    • Gathering and analyzing data and information, and preparing reports and documents
    • Working with computers and technology at an advanced level (MS Office – Word, Excel, Outlook) as well as standard office equipment
    • Being flexible, adaptive, and open to changes and improvements
    • Being proactive about continuing education and professional development (growth mindset)

    You bring this to the table:

    • Consummate professionalism and communication skills
    • Attention to detail and accuracy
    • Strong organizational skills, including project management abilities
    • Five (5) or more years of executive assistant and/or managerial level responsibility
    • A passion for working with people in a fast-paced, school environment

    A plus if you have:

    • Bachelor’s degree from an accredited college or university
    • Experience with legal agreements, system-based approaches and business processes
    • Strong technical and technology skills
