    Executive Assistant to the Head of School

    (This is an English language position, Chinese language proficiency not a requirement)


    Do you get a gleam in your eye when spying a new day-planner, to-do list app, or other time management tool to investigate? Do you like solving scheduling puzzles and diving in to find the optimal solutions for logistical challenges? Would you derive satisfaction from knowing that the smooth operation of a large, mission driven and internationally focused educational institution is due, in part, to your hard-work, skill and competence? If these are your sweet spots, you may be the confident, self-driven executive assistant whom CAIS seeks to partner with a head of school (HoS) who is always on the hunt for more efficient and effective strategies to best use time, energy, and resources. The ideal candidate will take the initiative to ensuring that the Office of the Head operates at its full potential.


    The Executive Assistant supports the Board of Trustees and Head of School in running a school with an ambitious mission, three campuses, and a fourth office location. The CAIS mission exhorts all community members to embrace Chinese, become their best selves, and create their place in the world. As the nation’s first dual language Chinese and English Pre-K through 8th grade school, CAIS works continuously to maintain our role as a leader in immersion education. Our dedicated, volunteer Board of Trustees work with the HoS to provide long-term vision and planning. Our administration, teachers, and staff create a vibrant, collegial setting that embodies the mission.     SPECIFIC DUTIES          

    Position responsibilities include (but are not limited to):

    ●    Manage calendars for HoS and the Board of Trustees, coordinate meeting schedules

    ●    Organize board meeting materials, attend board meetings, take and distribute notes

    ●    Organize and attend administrative council meetings, take and distribute notes

    ●    Coordinate with facilities management on logistics for school functions & events

    ●    Research projects for HoS as needed

    ●    Anticipate HoS needs for meeting, travel, and other areas to ensure work efficiency

    ●    Compose letters and reports

    ●    Manage incoming calls and correspondence, including email

    ●    Arrange travel booking, hotel reservation and registration of conferences & events

    ●    Keep track of HoS expenses, prepare expense reports

    ●    Respond to website inquiries sent to HoS

    ●    Create and update organizational chart, school maps

    ●    Perform other related duties as assigned


    ●    Administrative experience supporting top level executives

    ●    Experience in handling highly confidential information

    ●    Experience in handling demanding clients

    ●    Ability to think and plan ahead

    ●    Ability to organize and manage multiple priorities

    ●    Excellent interpersonal and communication skills

    ●    Conversant with Microsoft Office and Google Suite

    ●    Initiative and confidence

    ●    Diplomatic but direct communication style

    ●    Desire to make an impact in an educational setting


    We value, but do not require, the following attributes:

    ●    Ability to speak, read, and write Mandarin

    ●    Experience in an educational environment

    ●    Excellent writing skills
