Human Resources Manager

    Reports To:                  Director of Finance and Operations (DFO)


    Gateway School, in beautiful Santa Cruz, CA, is a CAIS accredited, independent, K-8 day school of 240 students that serves children with the intellectual curiosity and self-motivation to thrive in an academically challenging environment.  Our school is notable for its innovative instruction and programs, close student-teacher relationships, supportive parent community, and small classes.  We seek, and strive to maintain, a culturally and ethnically diverse community, and are committed to the principles that promote inclusive practices.     GENERAL RESPONSIBILITIES

    The Human Resources Manager is responsible for the administration and implementation of all areas of human resources operational activities for the School, in accordance with California and federal law and school policies.

    SPECIFIC RESPONSIBILITIES

    Hiring & Termination

          Carry out all phases of the hiring process for open positions: posting, recruiting, interviewing, reference checking, and assisting in selection as needed

          Prepare and maintain accurate job descriptions and ensure correct FLSA classification of positions

          Develop and utilize job posting and recruitment sources to broaden the diversity of the School’s faculty and staff and ensure compliance with EEOC regulations

          Assist DFO in formulating compensation packages; generate employment agreements

          Manage exit processes and document completion of these procedures

    On-boarding & Training

          Manage employee on-boarding and orientation, and document completion of these procedures

          Perform background checks on employees and volunteers through the Live Scan and DMV EPN programs

          Work with Facilities Manager to ensure that new hires have appropriate equipment and furniture to do their jobs safely

          Arrange regular staff trainings such as, but not limited to, first aid/CPR, harassment prevention, recognizing child abuse, employee health and safety

    Compliance

          Develop, implement and maintain effective compliance with applicable California and federal employment regulations in all areas related to human resources

          Develop and maintain the School’s personnel policies and procedures, employee handbook, and personnel forms

          Recommend changes in policies and procedures to school administration

          Maintain confidential human resource files and records; update file contents and records as required by California and federal law

    Payroll & HR Information System

          Prepare and submit payroll data to ADP on a semi-monthly basis

          Input and track employment and benefit information to ensure that it is accurately maintained in ADP Workforce Now and/or other databases

    Benefits

          Arrange for and administer all employee benefit programs (health insurance, workers comp, flexible benefits plan, retirement plan)

          Provide education and resources to employees for their best utilization of these programs 

          Administer COBRA program

          Manage all aspects of leaves of absence in accordance with federal and California law and School policies; arrange for appropriate equipment, furniture and space to accommodate employee needs upon return from leave

          Arrange for annual on-site flu vaccination clinic

    Employee Performance

          Assist with formulation of evaluation procedures for admin and staff, and oversee evaluation tasks and schedule

          Maintain records of evaluations of faculty, admin and staff

          Advise and work with administrators and employees to resolve personnel issues, and maintain records of incidents, issues, resolution processes and final outcomes

          When progressive discipline is necessary, advise and work with administrators throughout the process and document all steps

    Other Responsibilities

          Collect and analyze human resources data for internal and external reporting

          Work with the DFO in support of the School's Strategic Plan

          Other duties as assigned by the DFO

    QUALIFICATIONS

          Bachelor’s degree, preferably in Human Resources Management, Business Administration, Organizational Psychology, or another related field

          SHRM-CP Certification from Society for Human Resources Management or HRCI-PHR certification from the Human Resources Certification Institute preferred

          Minimum of three years of human resources experience in Administrator, Specialist, or Generalist-level roles with increasing responsibility and accountability

          Extensive knowledge of human resources principles, procedures and practices

          Excellent interpersonal skills, including humor, tact, patience and courtesy

          Kind, pleasant and effective communicator, willing to serve people at all levels in the organization

          Well-developed business ethics and the ability to maintain a high level of discretion and confidentiality

          Ability to interact professionally with a culturally diverse community

          Ability to deal effectively with multiple priorities, functions and activities

          Working knowledge of basic business and payroll software, including Microsoft Office Suite and Apple IOS

          Experience with ADP Workforce Now preferred
