    Special Events Coordinator

    Part Time – Maximum 80 hours per month

    Curtis School is an independent, coeducational day school serving students in grades DK-6.  The school is accredited by both the California Association of Independent Schools (CAIS) and the Western Association of Schools and Colleges (WASC).  Our community consists of 490 enrolled students and 68 faculty members.  The school is located on a spacious campus in the Santa Monica Mountains, in Los Angeles, California.  Curtis’s mission is to provide a well-rounded educational experience that will prepare students to pursue confidently the journey of their lives.

    Directly Reports to Director of Development

    Job Summary

    The Special events coordinator reports to the Director of Development and Alumni Relations. The position is responsible for assisting in the planning and implementation of between 15 and 20 Curtis School events annually including, but not limited to donor events, alumni events and faculty/staff events.  This position will help create welcoming and inclusive events for our community reflecting the mission of Curtis School.  Some evening and weekend work required.

    General Event Coordination responsibilities:

    • ·          Develops and manages event timelines, budgets and scenarios.
    • ·         Sets timely planning meetings before, and de-brief meetings after each event.
    • ·         Maintains files on each event including scenario with script/talking points
    • ·         Serves as liaison with vendors on event-related matters
    • ·         Attends events, provides supervision and ensures that the event runs smoothly.
    • ·         Collaboration with calendar committee to secure date/time facility requests.
    • ·         Make all arrangements for facility, food, décor and audio visual needs.
    • ·         Handles invitations, name tags, gifts and other event related items.
    • ·         Track invitations and attendance on Raiser’s Edge database.
    • ·         Coordinates the set-up of tables, linens, etc.

    Qualifications for a successful candidate:

    • ·         Strong event planning experience; detail oriented and highly organized
    • ·         Efficiency in managing multiple projects at once
    • ·         Strong communication and interpersonal skills
    • ·         Competency in MS Word, Excel and Outlook – Raiser’s Edge a plus.
    • ·         Ability to be flexible with work schedule
    • ·         Ability to professionally interact with all members of the School community
    • ·         Experience in independent schools preferred
    • ·         Bachelor Degree preferred
