    Alumni Engagement Associate

    Brentwood School, a vibrant and diverse K-12 independent school, is seeking an Alumni Engagement Associate to begin on August 12, 2025. The Alumni Engagement Office is part of the school’s Advancement team. Under the supervision of the Director of Alumni Engagement, and working closely with the Assistant Director of Alumni Engagement, the Alumni Engagement Associate supports the development and management of programs, events, and communications for alumni and parents of alumni, to deepen their relationship with the school and each other. This role requires excellent technology and database skills, a keen eye for detail, a proven ability to manage deadlines effectively, and an exceptional service mentality.

    Duties & Responsibilities including, but not limited to:

    DATABASE:

    • Responsible for data entry, data integrity, and database maintenance of all information related to alumni and parents of alumni constituencies

    • Collaborates with Constituent Database Manager to process, acknowledge, and document all gifts from alumni and parents of alumni

    • Assists with outreach for alumni updates, returned mail, and alumni research
    • Builds data queries, mailing lists, and reports
    • Responsible for taking minutes at Alumni Association meetings
    • Collects, documents, and databases archival information on alumni and parents of alumni

    OUTREACH/COMMUNICATIONS:

    • Serves as the first point of contact for alumni email communications. Assists with general communications including phone calls, emails, and direct mailings

     

    • Collaborates with Assistant Director of Alumni Engagement and Digital Media Manager on implementation of social media presence to increase alumni engagement
    • Uses LinkedIn or other available tools to help locate alumni information (such as missing employment or contact information for database update purposes)

    • Supports the Alumni Engagement office in managing the school’s summer internship program including the application process, sponsor outreach, and tracking participation waivers

    • Serves as a copy editor for alumni newsletters, the annual BWS Magazine, and compiles the magazine's Class Notes section

    • Supports Assistant Director of Alumni Engagement in developing and managing a robust Young Alumni Network

    • Collaborates with Assistant Director of Alumni Engagement to implement student/alumni programs that engage alumni and enrich the educational experience
    • Responsible for processes of sending alumni gift acknowledgments, alumni cards, care packages, and baby onesies

    EVENTS:

    • Manages space reservation, meeting arrangements, and other logistics related to alumni programs and events.
    • Assists with event setup and offers support in the planning and execution of alumni and parent of alumni events including some nights and weekends throughout the school year

    • Manages alumni event RSVPs, name tags, event registration table at alumni events, and other registration materials

    • Supports set up/execution of key all-school events (i.e. Commencement, VA Stand Down, Hutson Guest Lecture, etc.), along with other members of the Advancement team

    • Supports Assistant Director of Alumni Engagement in managing alumni event photo galleries

    • Other duties as assigned by the Director of Alumni Engagement or Senior Administrative Team

    Required Skills:

    • Strong interpersonal skills with the ability to articulate ideas clearly, both orally and in writing; excellent verbal and written communication skills are preferred

    • Highly organized with strong attention to detail and accuracy

    • Service-oriented problem solver able to manage simultaneous demands with a willing, friendly attitude

    • Strong analytical skills with the ability to maintain internal controlsystems

    • Experience with website management, design, and editing software preferred

    • Demonstrated collaboration on a team and cross-cultural competency is a must

    Minimum Job Qualifications:

    • Excellent and efficient database skills, including Google Suite, Microsoft Office, email marketing programs, and social media. Preference given to those with knowledge of Raiser’s Edge

    • Experience in nonprofit, fundraising, event planning and/or an independent school setting preferred

    • Experience in volunteer management and support

    • Bachelor’s degree or higher from an accredited institution encouraged

    COMPENSATION: Brentwood School’s employment requirements vary, from positions requiring no experience to those needing 20+ years of expert experience. Our salary range includes all levels of experience, from $55,000 - $70,000. Salaries are determined based on years of experience, education, full- or part-time status, the category of the role, and the number of months worked per school year. Salary ranges do not include benefits, i.e. 403b retirement matching, paid lunch time, free breakfast and lunch, free parking, subsidy toward medical, dental, vision, life/AD&D plans, and generous time off. The pay range is an estimate and is not guaranteed. If hired, your actual base salary will be determined by your education, experience, and category.
