    Established in 1920, Bentley School is a K-12 co-educational, independent day school located on two campuses in Oakland and Lafayette. Bentley is an inclusive community that shares a vision of transformative learning and respect for the individual.

    The Front Office Coordinator, K-8, is located in the main office at the Oakland campus on Hiller Drive.  Bentley School is seeking a personable and efficient front office coordinator to support the day to day operations of the front office through the school year. The position is an 11-month position from August through June, with set office hours of 7:30am to 4:00pm Monday through Friday.

     

    Receptionist Responsibilities:

          Greet all visitors to the school

          Answer the main office phone; directing calls to employees, taking and relaying messages to teachers and staff, and assisting parents as needed

          Assist faculty and staff members in need of temporary coverage

          Work with security on individuals coming onto campus and assigning available parking spots

          Collect, sort, and distribute incoming mail and assist with outgoing mail

          Monitor and organize daily student and faculty check-in and check-out procedures

    Administrative Assistant Responsibilities:

          Work with and provide assistance to staff, administrators, faculty, and families

          Work with and support the admissions team as needed with events, field trips, mailings, etc.

          Update and record daily attendance for the K-8 Division

          Coordinate substitute coverage, review, and maintain coverage spreadsheet

          Ensure smooth operation of equipment (copiers, postage machine, etc.) by completing preventive maintenance requirements, calling for repairs, and maintaining equipment inventories.

          Coordinate the Hiller student lunch program

          Update and maintain various school systems, including Magnus, Asset, Blackbaud, etc.

          Assist the K-8 Director, Senior Administrators, and Head of School as needed

          Assist students who may need various items such as: first aid, ice packs, band-aids, distribution of daily medicine, and OTC medicine if necessary, etc.

          Assist students with general needs

          Order and maintain front office and faculty lounge supplies for the Hiller campus

          Assist with bus transportation

          Keep accurate counts of the number of individuals on campus

          Keep and maintain a clean workspace in the copy room and faculty kitchen

          Assist with any aspect of Hiller campus events as needed i.e order food, flowers, supplies, etc.

          Other duties as assigned

    Required Qualifications:

          High School Diploma or equivalent

          Ability to quickly learn schools’ systems and programs

          High proficiency in all Google/MS Office programs

    Preferred Qualifications:

          2 years working in an office setting with energetic, fast-paced environment

          Experience working in a school environment

    Physical Requirements:

          Consistent mental alertness; standing, walking, or sitting for extended periods of time; lift, carry, push, and pull moderate weight objects; bending and twisting at waist and neck; kneeling and bending at the waist, reaching overhead, above the shoulders and horizontally; dexterity of fingers and both arms and hands while performing duties, seeing to read, write, and use a computer; hearing and speaking to exchange information in person or on the telephone.

    Pay Range:

    Bentley uses a competitive salary scale, which takes into account experience, education, and skill level. The salary scale for this position ranges from $28.85 to $32.50 per hour depending on experience.
