    Job Summary

    As a critical partner on the Development Database Team, the Development Database Assistant will be a collaborative, creative systems thinker, who enjoys strategic data-backed work and working collaboratively with teammates on how to utilize the donor database for their individual professional roles.The Development Database Assistant is responsible for processing all gifts, acknowledgement letters, sympathy cards, matching gifts, and receipts daily, as well as record management and maintenance. The Database Assistant also supports the department with the business office for monthly reconciliations. The Development Database Assistant reports to the Development Services Manager.

    Key Responsibilities

    • Process all donations, from entering gifts into the database to producing and mailing/emailing gift acknowledgment letters and maintaining well organized electronic and hard-copy gift documentation.

    • Provides excellent customer service to donors, their representatives, and other associated personnel who require administrative support during the gift-giving process, both on the phone and in writing.

    • Run data queries and reports associated with gift entry.

    • Establish and maintain gift backup files following institutional and governmental guidelines.

    • Collaborate with the Business Office to reconcile all donations and financial matters involving contributions (e.g., month-end reports, gifts-in-kind, matching gifts, creation of new funds, etc.). Assist with the review and gift documentation for auditors.

    • Prepare scheduled pledge reminders for annual fund, capital campaigns, endowments and events, and contact donors when pledge payments have lapsed.

    • Maintain database accuracy, perform regular database clean-up projects, and record updates for all constituencies. Including updating biographical information for constituents as part of the gift entry process.

    • Create new constituent records, perform biographical data updates for constituents, and research new information based on returned mailings, email bounce-backs, phone number changes, etc.

    • Support database projects, including new student family records (parents, grandparents, legacy relations, etc.)

    • Assist the Development Services Manager with establishing standards for data entry and usage and documenting these standards to further improve the efficiency and productivity of the Development Office.

    • Provide support in the creation of reports for mailing lists and name tags for various and diverse events and communications.

    • In partnership with the Development Services Manager, strategize and prepare queries, reports, and exports for direct mail, invitations, and tracking of fundraising results. Assist with campaign segmentation.

    • Secure all data following strict confidentiality standards.

    • Assist with creating the Annual Report and any communications.

    • Provide basic Raiser's Edge training for staff, as needed.

    • Participate in department-wide efforts in support of the Parent Pledge Program, Fiscal Year End and Calendar Year End solicitation efforts and weekly stewardship calls.

    • Assist with several weekend and evening development events throughout the year and attends schoolwide functions as needed to connect with constituents.

    • Understand the School’s academic program and its campus culture.

    Required Qualifications

    • Extremely organized, with precise attention to detail and strong analytical skills.

    • Experience and proficiency with database management. Outstanding problem-solving skills, and the flexibility to respond to changing priorities. 

    • Strong aptitude with Microsoft Word and Excel and Google Suite.

    • Ability to handle multiple tasks simultaneously and proactively refine office processes to maximize efficiency.

    • Strong verbal and written communication skills.

    • High School Diploma or equivalent

    Preferred Qualifications

    • Bachelor’s degree

    • 3 years prior successful experience of gift processing in a development or fundraising environment

    • 3 years of relevant experience with Raiser’s Edge/NXT preferred
