      GENERAL JOB DESCRIPTION

      The Admissions Database Assistant supports the Admissions Database Coordinator in managing and maintaining all the data for the Campbell Hall Admissions Office.  The Admissions Office processes over 1,000 applications a year which includes well over 6,000 pieces of supplemental materials including transcripts and recommendations.  The Admissions Database Assistant's main duties revolve around assisting the Coordinator in taking this data and making it accessible for interviewers and evaluators so they can make admission decisions. The job also includes being part of the admissions team and making the admissions process as smooth as possible for the applicant families. 

      MAJOR DUTIES AND RESPONSIBILITIES

    • Assist in maintaining the admissions database (CollegeNet).
    • Helping to process application paperwork including:  recommendations, testing, interview notes, additional letters of recommendation, transcripts and report cards. This includes organizing the paperwork as it arrives, scanning the documents and adding them to the applicant file in CollegeNet.
    • Coordinate registration for Open Houses and tours through Prospect
    • Downloading and attaching ISEE testing to applicant files.
    • Calling and scheduling interviews for Alliance, ABC, and YES candidates.
    • Conversion of Alliance, ABC, and YES applications into CollegeNet.
    • Support with auditing files for completion and contacting families about any missing checklist items. This includes communications with third party application providers about missing items.
    • Assist Director of Financial Aid with information relating to applicants.


    MINOR DUTIES AND RESPONSIBILITIES

    • Communicate with parents when they have questions about the admissions process whether that be via phone, email or in person. 
    • Help create a friendly and welcoming environment for families who are visiting Campbell Hall.
    • Help prepare nametags and materials for the admissions events throughout the season. 
    • Attend and help run the admission events.
    • Work various Saturdays throughout the admissions season which includes: admissions events, welcome events, additional interview dates, testing.
    • Run various reports throughout the admissions season for members of the admissions team.
    • Make files available for interviewers.
    • Pull weekly interviewer's schedules, assign space and make copies as needed.
    • Help organize and prepare printed materials for host family program and phone ambassador program. 
    • Support communication goals of the admissions office.
    • Support interview scheduling when needed.
    • Open and sort mail.
    • Maintain and upkeep data in CollegeNet.
    • Upload personal letters of recommendation, marking the file appropriately, and sending a thank you note.
    • Support the student ambassador program.
    • Aid in preparing mailings.


    QUALIFICATIONS FOR THE JOB

    • Bachelor’s degree

    • Computer Skills: Word, Excel, Google Platforms, Blackbaud, SSS
    • Database Experience
    • Strong Communication Skills: Written and Verbal
    • Positive, Customer Service oriented attitude
    • Strong Organizational Skills
    • Ability to Self-Manage
    • Team Player
    • Bilingual preferred


    PHYSICAL REQUIREMENTS

    • Light lifting, standing and walking required for events.
