    Administrative Assistant, East Campus Athletics

    Brentwood School, a vibrant and diverse K-12 Independent school, is looking for an Administrative Assistant to support the Athletic Department in maintaining the routine functions of the Athletic Department and to organize faculty commitments and responsibilities as necessary.  In addition, the Administrative Assistant assists the Athletic Director with special activities, some of which involve attendance at evening events. S/he must exercise excellent judgment and communication skills to deal with a broad spectrum of people, including faculty, staff, administration, students, parents/guardians, coaches, referees, and visitors. This position handles sensitive and confidential information, so diplomacy, tact, and discretion are essential skills.

    Responsibilities include, but are not limited to:

    ·       Corresponding with faculty, staff, coaches, referees, parents, and students

    ·       Taking notes and summarizing discussions at various meetings

    ·       Managing/maintaining coaches’ timesheets and employment paperwork

    ·       Assist with managing/maintaining the Athletic Department budget

    ·       Organizing, distributing, and collecting correspondences to families

    ·       Maintaining student athlete health records

    ·       Assist with scheduling fields, courts, and other athletic spaces for the Athletic Department

    ·       Managing the Athletic Director’s calendar

    ·       Managing liability waivers

    ·       Monitoring calls

    ·       Assisting the Athletic Director with special activities, ceremonies, presentations, and events

    ·       Assisting the PE Chair and College Counseling Liaison for Student Athletes as needed

    ·       Work with the Assistant Head of School for Advancement to coordinate the scheduling of playing fields and recreational spaces for the Veteran Center for Recreation and Education activities

    ·       Engage in professional and personal development and commit to growth in the areas of diversity, equity and inclusion

    ·       Participate and initiate opportunities that demonstrate one's growth, knowledge, and skills

    ·       Other duties as determined by the Athletic Director


    ·       At least 3 years work experience in an administrative support role

    ·       Excellent proofreading skills

    ·       Strong organizational skills and the ability to juggle multiple projects simultaneously

    ·       Well-developed communication and interpersonal skills to establish and maintain effective working relationships

    ·       Ability to handle confidential matters

    ·       Ability to work independently and follow through on assignments with minimal direction

    ·       Skill in managing a complex calendar

    ·       A sense of humor, warmth of personality, and energy

    COVID vaccination and Booster will be required for this position unless candidate has a legally valid exemption
