    Position Overview:

    The HR Assistant in an integral part of the HR Team and is responsible for supporting the Human Resources Team members with administrative functions and helping our employees with onboarding and general inquiries

    Essential Job Functions:

    • Onboard all new employees – facilitating new hire paperwork, I9 forms, parking, computer equipment, etc.
    • Process live scan fingerprinting for all new employees and independent contractors, running additional background checks as needed.
    • Coordinate with Managers to post job listings and create requisitions in HRIS system.
    • Facilitate anti-harassment training for all new employees and biannual all employee and manager harassment training.
    • Manage applicants in HRIS applicant tracking system and share applicants with the hiring managers.
    • Provides administrative support to HR Director.
    • Responsible for maintaining organized and up-to-date HR files.
    • Complete electronic and paper Employment Development Department unemployment claims.
    • Help employees with general HR questions and documents.
    • Draft all new hire letters for all new FT/PT employees.
    • Coordinate offboarding process with other departments such as security, IT, etc.
    • Assist with creating and editing HR newsletters.
    • Electronically disseminate documents to employees and ensure that they are completed.
    • Perform general clerical duties, such as filing, arranging parking, scheduling, ordering supplies, etc.
    • Coordinate logistics for HR events such as trainings, benefits, wellness events, and other various annual events.
    • Keep minutes of HR Team, benefits, and wellness committee meetings.
    • Ensure all positions have up to date job descriptions, and provide all new employees with job description in addition to new hire letter.
    •  Maintain accurate files and data entry in HRIS systems
    • Take notes at employee meetings as needed.

     

    Additional Job Functions:

    • Manage and coordinate miscellaneous projects as needed.
    • Process HR expenses and submit to Accounts Payable.
    • Process verifications of employment.
    • Participate as a safety committee member and as a Master Calendar committee member. 
    • Assist with employee handbook coordination.
    • Provide Spanish translation on all benefits, Leave of Absences, HR events such as open enrollment and general HR questions for Spanish-speaking employees.
    • Support as needed for workers compensation claims.
    • Assist with scheduling temporary employees, including contractor agreements and other paperwork.
    • Assist HR Director with employee surveys.
    • Assist with new hire orientation.
    • Perform other tasks as are needed.

    Required Qualifications: (Skills, experience, education/certification, etc.)

    • BA/ BS degree preferred.
    • Must be proficient in MS Office (Word, Excel, and Outlook) and Google Docs.
    • At least 3 years of HR and/or administrative assistant experience required.
    •  Spanish fluency preferred.
    • Passion for HR is a must!
    • Must be able to maintain strict confidentiality.
    • Must be customer service-oriented with the ability to interface with all levels of employees.
    • Display outstanding organizational skills, detail orientation, and multi-tasking skills.
    • Must have strong written and oral communication skills.
    • Ability to work both independently and in a team environment.
    • Must be flexible, adaptable to change and willing to learn.

    Physical Demands:

    • Sitting for long periods of time at a desk, typing and doing other clerical functions.
    • Lifting and carrying up to 15 lbs. on occasion.
