    Position Overview: In alignment with SBSTA’s mission, core values, vision and strategic plan, the Sugar Bowl Academy Registrar and Office Manager is a dedicated and detail-oriented individual who plays a crucial role in our dynamic team. The Registrar and Office Manager reports directly to the Dean of Academics and Student-Athlete Development and acts as a primary support and interface with all SBA student-athletes and families in all core administrative elements of an independent school. The Registrar and Office Manager is responsible for all school data management systems and customer service, and is highly organized and effective in providing support and collaborating with the SBA leadership team. 

    This position is a year round opportunity with extended time off in June to early July. 

    Major Responsibilities and Duties 

    Records, reports and correspondence 

    • Provide customer service for SBA student-athletes and families developing a strong working relationship with them and helping coordinate their needs with the SBA leadership team.
    • Maintain physical and digital records including student cumulative folders, progress reports, rosters, schedule changes and grade books through the MySba, Blackbaud and Magnus platforms. 
    • Process new student records, including requesting transcripts from other schools, setting up cumulative folders and entering student data into appropriate databases. 
    • Coordinate grading process, verification and correction of grades and publishing of midterm and end of term grade reports. 
    • Process and transmit requests for student information including student transcripts, updating transcripts every trimester, and for college processing.
    • Calculate GPA & class rank.
    • Assist administration with enrollment and withdrawals of student and process applicable records. 
    • Assist administration with any and all reports and student data information.
    • Answer phone calls as they come into the academy, answer questions and address concerns as needed, and/or direct them to appropriate staff members.
    • Provide administrative support for the leadership team as directed by the Dean of Academics and Student-Athlete Development, including for primary SBA student-athlete and parent events (ie. student-athlete orientation, parents’ weekend, graduation). 

    Other

    • Maintain a consistent presence for staff and students that promotes positive feelings for students, staff and families. 
    • Process, order, and distribute staff office and academic supplies in a timely manner.
    • Assist in development of calendar and establish consistently in digital management systems and outgoing communications. 
    • Assist in building class schedules and enrollment within the digital management system.
    • Assist administration with Advanced Placement student registration, enrollment, and other testing (ie. PSAT, ACT). 
    • Assist administration with course list distribution.
    • Coordinate the ordering and distribution of all graduation materials including caps, gowns and diplomas for graduation. 
    • Maintain a high degree of confidentiality and professionalism at all times.
    • Open and close academy building.
    • Maintain orderliness/cleanliness of staff kitchen and staff room including delegating responsibilities and coordinating supplies.
    • Collaborate with Food Services on the inventory and management of food fueling stations at the academy building. 
    • Other duties as assigned. 

    Special Notes:

    • As a condition of employment, all employees must pass a State of California Livescan background check.
    • Employment requirements for the 2021-2022 season include proof of full Covid-19 vaccination prior to the first in-person day.  (Fully vaccinated is two weeks after your second dose in a two-dose series or two weeks after a single-dose vaccine.)
