Administrative Assistant - Reception/Business Office Full-time - (40 hours week – 12 month position)

We are currently seeking a personable, detail-oriented individual for our Administrative Assistant-Reception/Business Office opening.
The Administrative Assistant-Reception/Business Office serves a critical role in the support of the Business Office as well as the front office of the school. In this role the Administrative Assistant will assist with coverage during morning hours, and provide lunch coverage for the front desk. When not performing receptionist duties, the Business Office functionality will include working with Human Resources, General Accounting/Accounts Payable, Financial Aid and Accounts Receivable and the CFO. The role requires superb customer service skills, proficiency in MS Office and Google Docs, high degree of organization, ability to prioritize tasks and the utmost in confidentiality, given the access to highly sensitive and personal information. On occasion, after hours work may be required.
Greet students, parents, volunteers, workers and other visitors in a warm and friendly manner and create an excellent first impression of Junipero Serra High School
Represent the school in a courteous, efficient and friendly manner in all interactions to ensure visitor satisfaction
Upon sign in, direct visitors to their destinations within the school, answer incoming school calls on the main school telephone lines, take messages or direct calls to staff extensions and voicemail as necessary
Assist students with various services including preparing late slips, early dismissal forms, detention assignment, delivering handed-in time-stamped student work to teachers, etc.
Manage incoming/outgoing mail, prepare and call for pick-up of outgoing packages and deliver and maintain the postage machine and meter
Responsible for ordering and managing supplies necessary for efficient operation of front office
Back up the Administrative Assistant - Attendance with student attendance and tardiness reporting and other duties
Prepare check request
Submittal and filing of weekly Accounts Payable
Clerical support for Business Office
Administrative support for CFO
Follow up on past due accounts, supplemental billing
Preparation of HR intake forms
Support Accounts Payable/Accounts Receivable activities
Prepare weekly bank deposits, cash receipts, weekly deposits and verification of cash
Manage petty cash and postage receipts
Prepare payroll information for ADP
Perform other duties and special projects as assigned
5+ years’ experience providing administrative support
General accounting knowledge and/or ADP experience a plus
Ability to work well with colleagues at all levels
Ability to interface with customers effectively
Strong sense of professionalism, confidentiality and maturity
Outstanding technical skill in MS Office and Google Docs
Ability to master student database software (experience with PCR a plus)
Ability to produce consistently high-quality results
Excellent organizational skills, accuracy, and attention to detail
Resourceful, proactive self-starter with the ability to think ahead
Ability to multi-task and work independently, as well as part of a team
Excellent verbal and written communication skills
Reports to: CFO
Salary: Commensurate with experience
