    Business Officer / Controller

LES is a thriving K-6 independent school with full enrollment and annual budget surpluses. The tree-studded campus off Ventura Boulevard in Encino is an ideal small school setting where everyone knows each other and where cooperation and friendship span all grades.

    The Business Officer/Controller serves as a key administrative team member, providing both hands-on action as well as management oversight in accounting and budgeting, cash management, and human resources.  The incumbent works closely with colleagues in facilities, advancement, IT, and other leaders to support the school’s operation.

     LIST OF TASKS AND OR DUTIES:

      • Maintains and performs the monthly review and reconciliation of the general ledger.
      • Prepares monthly, quarterly, and yearly financial statements.
      • Cash Management - includes daily monitoring of cash balances in various bank accounts.
      • Prepares all monthly bank reconciliations.
      • Prepares and posts monthly and annual journal entries.
      • Reconciles with Head of School, monthly and annually, gift income.
      • Manages all aspects of the Accounts Payable cycle, including processing checks, copying, printing checks, etc.
      • Annual preparation of 1099 forms.
      • Reviews and authorizes all check requests, and approves vendor payments including all utility bills, mortgage payments, and facilities items.
      • Prepares annual surveys, compliance reports, and information requests for financial data.
      • Maintains fixed asset schedule and prepares yearly depreciation schedules.
      • Administers and maintains all property, casualty, and liability insurance for the school.
      • Billing of tuition, extended care, fees, etc.
      • Posts accounts receivables received, including tuition and gift income.
      • Establishes policies, procedures, standards and strategies for business processes and ensures adequate internal controls to safeguard the school’s assets.
    • Supports the Head of School in financial planning and reporting for the School, including the preparation of the annual budget, and supports the work of the Board of Trustees.
      • Attends Finance and Board of Trustee meetings as requested.
      • Acts as liaison between School and CPA firm; including coordination and preparation of work papers for the annual audit.
      • Gathers information required for preparation of annual Form 990 and Form 5500 tax returns.
      • Works in conjunction with the Head of School and Advancement Director in the processing of gift income.
    • Supports student enrollment and billing including
      • Posts payments to student accounts, including financial aid, and handles all problems associated with student accounts.
      • Deposits all accounts receivable in bank accounts.
      • Prepares follow-up correspondence to problem accounts.
      • Balances student accounts to general ledger.
      • Prepares and email enrollment materials
      • Oversees planning, organization and management of the one-person Business Office and supports the basic accounting functions of the school including:
    • Pitches-in on school-wide events and projects as needed

    Requirements:

     

    • Ability to thrive in a joyful elementary school environment
    • A four-year college degree.
    • Four + years of human resource experience.
    • Four + years of accounting/financial business management experience, preferably with an independent school environment.
    • Must include experience with budgeting and forecasting and knowledge of generally accepted accounting principles.
    • Excellent communications skills, and good interpersonal, organizational, leadership, management, and supervisory skills.
    • Ability to collaborate with mission-driven colleagues to create positive outcomes for children.
    • Ability to use and knowledge of accounting software systems, data retrieval, report preparation, word processing and spreadsheet programs.
    • Ability to work independently, be self-motivated and be able to cope successfully with stressful situations, schedules and deadlines.
