    Advancement Assistant

    Position Summary
    Reporting to the Chief Advancement Officer (CAO), the Advancement Assistant provides administrative support to the Advancement Office and supports activities related to gift campaigns, development services, marketing communications, alumnae engagement, and special events. The Advancement Assistant is responsible for all administrative aspects of Advancement offices, with project priorities set by the CAO.

    Essential Responsibilities

    • Staff the CAO including managing his/her calendar, correspondence and preparation for meetings
    • Provide administrative services for departmental meetings and board committee reports (i.e. prepare and distribute notices, agendas, minutes, etc.
    • Provide administrative services for all aspects of gift campaigns including production and mailing of appeal letters
    • Process donations and prepare acknowledgement letters and other correspondence
    • Maintain foundation, corporation and individual donor files
    • Assist in the preparation of monthly gift reports and other database reports as needed
    • Continually update and correct database records
    • Prepare appropriate tax documentation for donors
    • Prepare registration materials, maintain guest lists and other duties as assigned for special events
    • Assemble materials for events and meetings
    • Assist in running errands for department/School business and functions
    • Ensure that supplies and equipment are on hand and inventories are stocked in support of Office activities and projects
    • Other duties as assigned by the CAO

    Technical/Management/Professional Responsibilities and Accountabilities

    • Demonstrated record of working collaboratively and fostering a commitment to teamwork
    • Proficiency in computer skills including with word processing, spreadsheets (e.g. Excel), , and presentation preparation (e.g. PowerPoint)
    • Database management experience – BlackBaud Raiser’s Edge preferred
    • Ability to present information concisely and effectively, both verbally and in writing
    • Ability to organize and prioritize work
    • Ability to work independently with little supervision
    • Excellent interpersonal skills
    • Ability to handle confidential matters with discretion

    Qualification Requirements

    • Associate or bachelor degree in a related field
    • A minimum of three years' experience in an administrative position, preferably in a not-for-profit office
    • Must have a valid driver’s license and a reliable vehicle
